Office Manager

Position Profile:
Be an extraordinary office manager -- creatively providing support to multiple departments including Human Resources, Operations, Marketing, Sales, Accounting and Payroll. The position involves managing the office administration functions as well as providing extensive support role to the executive management team. This position is responsible for supporting the Business Development team with proposal production and preparation of standard marketing materials.
Principal Responsibilities:

- Manage the accounts payable, accounts receivable, and payroll processing functions ensuring accurate tracking and timely payments
- Manage the office-related functions which includes reception, shipping and receiving, office buying, and inventory responsibilities
- Manage the human resources administration function which includes processing insurance enrollments and cancellations, maintaining all employee and applicant files, and answering employee and potential applicant questions
- Provide marketing, sales and project support by preparing introductory packages, conducting research on target companies, and assisting with the development of proposals, RFPs, and RFIs
- Support the Executive Management team in making travel arrangements, tracking expenses, and scheduling appointments, and other work as assigned
- Develop and implement office-related procedures to increase the efficiency and effectiveness of this function including identifying cost saving measures
- Balance and prioritize work to ensure critical items are addressed
- Produce high quality deliverables while working within budget and meeting deadlines
- Interact and confer with IE Team frequently regarding specific work efforts including seeking regular feedback and input on deliverables
- Keep supervisor aware of workload and potential conflicting commitments
- Assist in the identification, assessment and resolution of issues and problems
- Provide exceptional customer service
Required Qualifications:
- Must be able to work independently with self direction and initiative as well as ability to work cooperatively as a member of a team
- Excellent decision making and judgment skills
- Computer literacy with demonstrable proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and Quickbooks
- Ability to work efficiently under pressure and meet deadlines
- Can easily handle multiple tasks simultaneously
- Must have patience, flexibility, a good sense of humor and be solutions-focused
- Must have strong professionalism and exceptional interpersonal skills
Education and Experience Requirements:
- Minimum of a high school degree required, college experience preferred
- 3 to 4 years administrative assistant experience required; with experience managing an office preferred
- Accounts payable, accounts receivable, and payroll processing experience preferred
