Administrative Assistant and Publications Manager

Position Profile:

Support a Program Manager and 2 strategists on a Department of Homeland Security contract for marketing, and media and Congressional outreach services. This position involves general office administration; logistics management for public speaking events and training; and publications management.

Principal Responsibilities:

  • General filing, typing, data entry and copying; printing and assembling marketing materials
  • Answer phones, distribute calls and messages
  • Verifies facts, dates, and statistics, using standard reference sources
  • Manage "library" of materials and keep records up to date
  • Assist in travel arrangements and tracking expenses
  • Balance and prioritize work to ensure critical items are addressed
  • Produce high quality deliverables while working within budget and meeting deadlines
  • Interact and confer with IE Team frequently regarding specific work efforts, including seeking regular feedback and input on deliverables
  • Keep supervisor aware of workload and potential conflicting commitments
  • Assist in the identification, assessment and resolution of issues and problems
  • Provide exceptional customer service

Qualifications:

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work efficiently under pressure and meet deadlines
  • Can easily handle multiple tasks simultaneously
  • Must be able to work cooperatively as a member of a team as well as independently with self direction
  • Must possess patience, flexibility, and a good sense of humor, and be solution-focused
  • Must have strong professionalism and exceptional interpersonal skills

Requirements:

  • College degree required with 1 to 2 years experience.
  • Must be able to work on-site for a federal client in Washington, D.C., 9 - 5:30, 5 days a week.
  • Must have Secret clearance or confidence in their ability to successfully pass a background investigation.
  • Must be U.S. Citizen and have resided in the U.S. for 3 of the past 5 years. Non-U.S. citizens, including Lawful Permanent Residents (LPRs), need not apply.
